Payroll mistakes or adjustments happen for a variety of reasons. But luckily, you can make changes to previously submitted payroll reports right from your Guideline administrator dashboard.
When corrections can take place
To correct a misreported payroll report, access the Payroll tab from the main menu. Depending on the status of the payroll will determine how and when corrections are handled.
Submitted:
You have until 8 pm PT to make changes to the report before the bank withdrawal takes place. Any changes made before that time will be processed the same day.
Processing:
The report will be completed within 3 business days from the submission date. No corrections can be made during this phase. Any adjustments will need to wait until processing is finalized.
Complete:
Once payroll has been processed, you can make edits at any time. However, we recommend reviewing our list of permissible correction reasons. Once contributions are deposited into the plan, there are strict guidelines on what changes can be made.
If any funds need to be reversed as a result of the payroll adjustment on a completed report, Guideline will typically return the money to your plan cash balance. These funds will then be used to offset upcoming contributions.
How to correct payroll reporting errors
To make changes to a specific report, click on the pay date within the applicable row. You’ll then be able to manually adjust the fields within the Payroll report page.
Updating misreported gross wages
If you identified that a report declared incorrect gross wages, no immediate action is required to correct them. Instead, Guideline will ask you to confirm all gross wages earned for every employee in the following year the pay has been reported.
